Event Host & Organizer Agreement
This agreement outlines the terms and expectations for individuals hosting and organizing events under the Professional Women’s Meetup (PWM) brand. By becoming a PWM Event Host & Organizer, you agree to adhere to the following guidelines to ensure a high-quality experience for all participants.
1. Purpose
PWM Event Hosts & Organizers play a key role in fostering meaningful connections, delivering valuable content, and strengthening the PWM community. This agreement ensures that all events maintain a consistent standard aligned with PWM’s mission of empowering women entrepreneurs and professionals.
2. Roles & Responsibilities
Event Planning & Execution
Develop and host events that align with PWM’s mission and values.
Submit all event details (date, time, description, format) for approval before promotion.
Ensure each event provides value, engagement, and a professional experience for attendees.
Community Engagement & Promotion
Actively promote events across personal and professional networks, tagging @prowomenmeet on social media.
Encourage attendees to engage with PWM’s community and membership opportunities.
Respond to attendee questions and facilitate discussions before, during, and after events.
For virtual events, maintain high-quality audio and video standards.
Collaboration & Conduct
Uphold a respectful, inclusive, and professional environment in all PWM events.
Represent the PWM brand with integrity and professionalism.
Avoid excessive self-promotion; events should be value-driven rather than sales-focused.
Follow PWM’s Code of Conduct, ensuring all attendees feel welcomed and respected.
Commitment to Attendance & Consistency
Honor scheduled events. In the case of cancellation, provide at least five days’ notice, except in emergencies.
Maintain consistency for recurring events to foster community engagement.
3. Event Logistics & Support
PWM will provide:
Event promotion via PWM’s platforms, including the Meetup page, email list, and social media.
Resources and guidance to support successful event execution.
Hosts are responsible for:
Access to a Zoom platform for virtual events.
Managing event logistics, including venue coordination for in-person events.
Ensuring technical requirements, such as stable internet and proper audiovisual setup, for virtual events.
Coordinating guest speakers and ensuring they adhere to PWM guidelines (if applicable).
4. Intellectual Property & Content Use
The Host grants PWM permission to record, distribute, and use event content (videos, images, and written material) for promotional and educational purposes.
PWM owns the rights to all event recordings and materials shared on its platform.
Hosts wishing to repurpose event content outside of PWM must obtain written permission.
5. Financial Terms
PWM events are not intended as a direct source of income for Hosts. Any ticketed or paid event structures must be pre-approved by PWM leadership.
6. Termination & Removal
PWM reserves the right to remove a Host or Organizer at any time if they:
Fail to uphold the agreed-upon responsibilities.
Engage in unethical, unprofessional, or inappropriate behavior.
Violate PWM’s Code of Conduct or community guidelines.
7. Agreement Acknowledgment
By proceeding with hosting events under the PWM brand, you acknowledge and agree to the terms outlined in this agreement.
